Project Coordinator / Administrator
Position Overview
MetronCS Commercial Services is seeking a detail-oriented Project Coordinator to support our project managers and site teams in delivering exceptional commercial construction projects. You'll manage day-to-day documentation, scheduling, submittals, RFIs, and change orders. This role serves as the backbone of our construction operations, ensuring all project information is organized, accurate, and accessible to the entire team.
Key Responsibilities
- Prepare and maintain comprehensive project documentation including contracts, permits, insurance certificates, and correspondence
- Process and track Requests for Information (RFIs) and submittals from initiation through approval
- Prepare change orders, track scope changes, and manage documentation requirements
- Maintain project schedules and support CPM scheduling updates and reports
- Coordinate meetings including pre-construction, weekly progress, and safety briefings; prepare and distribute meeting minutes
- Process invoices and maintain records for accounting coordination with project managers
- Track project deliverables, permits, and inspections to ensure timely compliance
- Manage document control and maintain organized filing systems (both digital and physical)
- Support quality control activities including punch list management and deficiency tracking
- Assist with budget tracking and cost reporting to support project managers
- Communicate with subcontractors, suppliers, and team members regarding documentation requirements
- Prepare progress reports and status summaries for stakeholder communication
Required Qualifications
- Minimum 2 years of experience in construction project coordination or administration
- Strong organizational and time management skills; ability to manage multiple projects simultaneously
- Proficiency with Microsoft Office (Word, Excel, PowerPoint) and project management software
- Excellent written and verbal communication skills
- Attention to detail and accuracy in documentation and record-keeping
- Understanding of construction processes and terminology
- High school diploma or equivalent; some college or construction management course work preferred
Preferred Qualifications
- Experience with restaurant or QSR construction projects
- Knowledge of Procore or other project management software platforms
- Experience with building permits and regulatory compliance processes
- Professional construction coordination certification (CPPM, AODC)
Physical Requirements
Ability to work in a standard office environment with occasional site visits to active construction areas. Must be comfortable wearing PPE when visiting job sites and standing/walking for extended periods during site visits.
